The Consular Assistant provides administrative and customer service support to the Consular Section. The role involves assisting visa applicants, handling documentation, supporting American citizen services, and ensuring smooth daily operations of consular activities.

     Key Responsibilities

  • Provide front-line customer service to visa applicants and U.S. citizens in a professional and respectful manner.
  • Pre-screen and review visa and passport applications to ensure completeness and accuracy.
  • Verify supporting documents and identify missing or inconsistent information.
  • Enter and update applicant data in consular databases with high accuracy.
  • Assist consular officers in preparing case files and managing interview schedules.
  • Respond to inquiries via email, phone, and in-person, providing clear and accurate information.
  • Support American Citizen Services (ACS), including passport services, notarial services, and emergency assistance.
  • Maintain organized records and filing systems (both electronic and physical).
  • Ensure strict compliance with U.S. embassy policies, procedures, and confidentiality standards.
  • Handle sensitive information with discretion and integrity.
  • Assist in managing daily workflow and applicant flow to ensure efficient operations.
  • Collaborate with team members and support administrative and clerical tasks as required.
  • Participate in training sessions and process improvements within the consular section.

   Education Requirement

  • Completion of high school education (Secondary School Certificate) is required.
  • Applicants must clearly indicate their educational background in the ERA (Electronic Recruitment Application) system under the Education section.
  • Additional training in fields such as Business Administration, Public Administration, Office Management, or related areas is an advantage but not mandatory.
  • Basic knowledge of computer applications (MS Office, data entry systems) is desirable.
  • Strong English language proficiency (reading, writing, and speaking) is required; knowledge of local languages is an added advantage.
