The Executive Secretary provides high-level administrative and secretarial support to senior management. The role involves managing schedules, coordinating meetings, handling correspondence, maintaining confidential documents, and ensuring smooth communication between executives, staff, and external stakeholders.
Key Responsibilities:
- PManage and organize the daily schedule, appointments, and meetings of senior executives.
- Prepare and edit official letters, reports, memos, presentations, and other documents.
- Receive, screen, and respond to telephone calls, emails, and other communications on behalf of executives.
- Arrange and coordinate meetings, conferences, and official events, including preparing agendas and taking minutes.
- Maintain confidential files, records, and important documents in an organized manner.
- Handle incoming and outgoing correspondence and ensure timely distribution to relevant departments.
- Assist in travel arrangements, accommodation bookings, and logistics for executives when necessary.
- Prepare meeting minutes, reports, and follow-up actions after meetings.
- Facilitate communication between management, staff, clients, and external partners.
- Ensure proper office administration and document management systems are maintained.
- Support executives in special projects, research, and administrative tasks when required.
Requirements
Education
BA Degree in Secretarial Science and Office Management (SSOM) or a related field.
Work Experience
- At least 4 years of relevant work experience as an Executive Secretary or in a similar administrative/secretarial role.
